Capital Procurement, Asset Management, and Tail Spend Sourcing
Summary/Objective

Our Laboratory Equipment Asset Procurement Services acronym “LEAPS” is our capital, asset management and procurement services operations. Our goal is to provide our customer with innovative solutions and services in R&D and manufacturing with robust e-commerce products, capital equipment and asset management services to help accelerate product development and to optimize manufacturing operational efficiencies in Pharma, Life Science, Academia and other related industries.
Position Summary:
The Director of Capital Procurement, Asset Management, and Tail Spend Sourcing is a senior procurement leader supporting the dynamic needs of R&D organizations within pharmaceutical, biotech, life sciences, and academic research environments. The role oversees sourcing for high-value capital investments (e.g., scientific equipment, lab infrastructure), asset lifecycle management, and governance of tail spend categories such as lab consumables and scientific services. This leader will align sourcing strategies with scientific goals, improve procurement efficiency, and ensure regulatory and institutional compliance in complex, regulated, and discovery-driven environments.
Key Responsibilities:
1. Capital Procurement (CAPEX) – Research & Laboratory Infrastructure
- Lead strategic sourcing and contract negotiation for capital investments such as analytical instruments, biosafety cabinets, fume hoods, imaging equipment, cold storage, and laboratory renovation projects.
- Partner with R&D stakeholders, scientific operations, and facilities teams to identify capital needs and align procurement strategies with project timelines and research priorities.
- Manage RFPs, vendor selection, and contract execution with an emphasis on compliance (e.g., GLP, EHS, institutional biosafety protocols).
- Ensure procurement processes meet internal policies, grant requirements, and external regulatory expectations in academic and industry R&D settings.
2. Asset Management – Research Equipment
- Develop governance and processes for the full lifecycle of scientific assets including acquisition, calibration, maintenance scheduling, utilization tracking, and decommissioning.
- Leverage asset management tools and integrate with scientific platforms such as LIMS, CMMS, or research ERP systems.
- Support cost optimization through equipment standardization, shared asset programs, and cross-lab collaboration.
- Partner with Finance and Facilities to ensure accurate asset records, depreciation planning, and audit readiness.
3. Tail Spend Sourcing – Lab Consumables & Indirect Scientific Spend
- Implement a robust strategy for managing fragmented, decentralized R&D spend, including lab supplies, reagents, chemicals, and minor research services.
- Enable compliant and efficient purchasing via eProcurement tools (e.g., catalogs, guided buying, pre-approved suppliers).
- Engage with scientists, lab managers, and research administration to understand usage patterns and improve sourcing outcomes without disrupting research workflows.
- Identify opportunities for preferred supplier programs, sustainability integration, and diversity spend initiatives in tail categories.
Qualifications:
- Bachelor’s degree in Life Sciences, Supply Chain, Engineering, or related field. MBA or advanced scientific degree (e.g., MS, PhD) preferred.
- 10+ years of procurement or sourcing experience, including significant experience within pharmaceutical R&D, biotech, academic research, or scientific operations.
- Demonstrated success managing capital procurement and scientific equipment sourcing.
- Strong working knowledge of GLP, EHS compliance, research lab operations, and institutional procurement policies (including grant funding and NIH/NSF reporting).
- Experience with procurement and asset management systems (e.g., Coupa, SAP, SciQuest, CMMS, LIMS).
- Strong stakeholder engagement skills across scientific, operational, and finance functions.
Preferred Experience:
- Experience in collaborative research environments (e.g., academic-industry partnerships, CROs, core labs).
- Familiarity with institutional research compliance, biosafety committees, or grant procurement constraints.
- Experience supporting translational or preclinical research operations.
